Explore a shared picture of products, reserved stock and returns awaiting inspection, alongside product-answer drafts grounded in approved information.
Interactive concept with fictional sample data. No live integrations. Nothing is sent, booked, purchased, published or saved. The checks shown here illustrate a proposed workflow, not verified production capability.
01 / Product source
Start from an approved product record.
Fictional product SKU-DEMO-7 has an approved specification v3. A staff question asks for material and warranty details. Material is documented; warranty duration is missing. Keep the source reference and approval version visible.
The fictional physical count is 12: three reserved, two returns awaiting inspection and one damaged. For this example those states do not overlap. Available to sell is six. A refund, return arrival, inspection and restocking are separate events.
A material answer can cite specification v3; leave warranty unanswered. The owner’s threshold of eight triggers a stock-review alert at six. It does not approve replenishment, set a price or publish a description.
Draft answer: specification v3 · stock review alert · no purchase order
04 / Staff review
Block approval when channel records disagree.
In the clear example, assume the store count and online reservations have been reconciled. If a channel sync failed, do not promise availability. Reconcile by event ID and timestamp; replaying an event must not deduct stock twice.
Staff review only · no live stock update or customer promise
Channel status is uncertain. Hold approval, reconcile the source events and avoid promising stock availability.
Awaiting human review.Demo approval recorded locally. No real action was taken.
05 / Next action
Keep the return and the alert separate.
The stock owner reviews the alert. Returned goods stay outside sellable stock until inspection and authorized restocking are recorded. An employee can flag a wrong answer and route it to the product record owner.
Stock alert not approved. Reconcile channel records before relying on the calculated availability.
Demo alert approved for internal review. Returns still await inspection; no stock, price, listing or purchase record changed.
02 / WORK WITH WHAT YOU USE
Confirm the connection before promising it.
These are options to assess, not a verified compatibility list. We are not claiming ready-made connections to any particular platform. Account tiers, official access rules, data quality and a scoped test determine what is feasible.
Connection discovery checklist
Tool category
Possible approach
Confirm first
POS and online storefronts
Read-only exports or permitted APIs for a limited category or channel.
SKU variants, locations, reservation rules, update times and duplicate event handling.
Product catalog and supplier files
Approved records with versioned specifications and attributable sources.
Publication approval, outdated models, missing facts and correction ownership.
Returns and logistics
Separate status records for refund, arrival, inspection and restocking.
Permitted data access, state transitions, failed sync notifications and reconciliation.
03 / AGREE BEFORE CONNECTING
Set boundaries that fit this business.
These are discovery questions, not agreed hosting, retention, training-use or service-level commitments. Confirm the answers in project documents with the contracting business and named lead before using real records.
Illustrative flow to confirm
Authorized source records→Scoped workspace and access rules→AI draft, only if agreed→Human review and next task
Map any external providers, logs and backups separately. Storage location, model reuse or training terms, access and deletion must be confirmed for each part.
Protect customer and order records
Limit the pilot to the product and stock fields it needs. Exclude payment credentials and agree customer-data visibility separately from catalog access.
Explain employee activity tracking
Define whether records support correction and handover or performance analysis. Agree staff and manager access before collecting named replies, counts and return handling.
Recover without duplicate stock changes
Name the owner of sync failures, preserve event IDs and agree a retry and manual-reconciliation process. Test export, restoration and deletion before expanding to all channels.
Name the delivery and data owners
Write down the contracting business, project lead, acceptance criteria, access permissions and incident contact. Agree confidentiality, deliverable ownership, support hours and escalation responsibilities.
Agree retention, export and deletion
Set retention for source records, AI inputs and outputs, activity logs and backups separately. Define authorized export formats, access revocation, deletion requests, backup expiry and evidence of completion.
04 / A SMALL START
Test one useful change before expanding.
Start with one product category and a read-only test channel. Try staff product questions and draft descriptions before stock alerts. Exclude payment data, automatic publishing, price changes and purchase orders. Measure answer review time, stock discrepancies and duplicate alerts.
05 / FIVE USEFUL READS
Read with your first workflow in mind.
Read in this order. These are editorial guides, not industry credentials or customer-result claims.
Describe where the work gets stuck, who needs to review it and how you handle it today. Use fictional examples; do not include real customer, staff, payment or commercially sensitive records in the initial inquiry.
