A source link is the start of provenance, not the end
Make an answer traceable to the passage, version, and permission context that supported it.

Trace the claim to a passage
A source list can make an unsupported answer appear respectable. Ask whether each material claim is supported by a particular passage, and whether the passage actually says what the answer asserts. Citation research distinguishes fluent writing from correct support. For a business assistant, that suggests a practical review screen: show the answer beside the relevant excerpt and the document identity rather than a pile of generic links.
Keep the version that was used
In an illustrative onboarding process, a policy may change after an employee acted on an answer. Store an approved document version identifier or content fingerprint with the response trace, within the organization’s retention rules. Also keep the retrieval time and effective period. This helps answer a future question: was the answer wrong at the time, or did the policy change later? A current link alone cannot settle that distinction.
Workflow at a glance
Keep the trace appropriately scoped
A trace itself may contain confidential excerpts. Give it an audience and retention policy; do not assume every administrator or support engineer should read all customer content. Where possible, use references and limited excerpts instead of full document copies. Test whether a source link remains protected when shared. The trace should make review possible without becoming a second uncontrolled archive of sensitive material.
Review unsupported transitions
Pay special attention to words such as therefore, always, and must. A source can establish a procedure without supporting a claimed guarantee or a broad recommendation. Ask reviewers to mark unsupported inference separately from missing citation. Improve the answer template to say what is known, what is inferred, and what needs confirmation. This keeps provenance useful for actual decisions rather than merely decorative for a demonstration.
A provenance handover test
Give a colleague who did not build the assistant one response trace and ask them to reconstruct its supporting evidence. If they need the original developer to interpret it, improve the trace design. Usable provenance should survive staff changes and routine support handoffs.
