Fix the intake form before adding an AI assistant

Accessible labels and useful error messages can remove work that AI would otherwise have to repair.

Question why the input is unclear

An illustrative customer-service team wants AI to interpret incomplete requests. Before building that layer, inspect the form that created them. Placeholder-only fields, unexplained identifiers, and generic error messages may be causing avoidable confusion. W3C’s form-label guidance supplies a useful baseline for control labeling, but the business must also decide what information a customer can realistically provide.

Use labels as operational definitions

A field called reference may mean an invoice number to one person and a support-ticket number to another. State the expected identifier and show a non-sensitive example. Keep instructions available after typing begins. When the form rejects input, explain the specific correction without clearing unrelated answers. This improves both human completion and the quality of any later automated processing.

Reserve AI for meaningful ambiguity

After basic form fixes, identify free-text questions where interpretation genuinely helps. Let AI suggest a category while showing the original text and allowing correction. Do not use a model to conceal a broken validation rule or silently rewrite a customer’s meaning. Compare the improved form alone against the form plus assistant so the added complexity must earn its place.

Test with actual completion tasks

Ask users to complete realistic examples on mobile and with keyboard navigation. Observe abandoned fields, repeated errors, and follow-up questions. Measure end-to-end completion and downstream corrections. A simpler form may outperform an impressive assistant, and that is a successful implementation decision rather than a failure to adopt AI.

A practical next step

Give the form to a person unfamiliar with the process and record every clarification they need. Fix one label, repeat the task, and compare completion. Include keyboard navigation and error recovery. This isolates the effect of basic design instead of crediting AI for repairing problems caused by avoidable ambiguity in the form.
