Deleting a file does not finish the knowledge-removal workflow
Check derived indexes, previews, and traces when information should no longer be available.

Map derived copies
A document may create extracted text, chunks, embeddings, previews, and response traces. Before a pilot, draw where each derived form lives and who owns its lifecycle. AWS synchronization guidance includes document removal from an index, but a complete application may have additional caches and logs. This article proposes an operational verification plan, not a claim that one deletion command satisfies every retention obligation.
Use a controlled removal test
Create a synthetic document with a unique phrase, ingest it, verify authorized retrieval, then remove it through the agreed procedure. Test search, preview, old links, and fresh conversations. Do not use a real client’s sensitive information for the experiment. Record when the source disappeared from each path. A missing search result is useful evidence, but it is not proof that every stored copy has been erased.
Workflow at a glance
Separate suppression and erasure
Sometimes immediate access suppression is possible while deletion or backup expiry follows a documented schedule. Make that distinction visible to the responsible owner. Define how restored backups avoid reintroducing retired documents. If a prior conversation contains an excerpt, establish whether it should remain accessible and to whom. Treat removal as a state transition with verification rather than an informal request sent to an engineer.
Retest after architecture changes
New indexing services, analytics tools, or support exports can create new copies. Add the removal test to change acceptance rather than relying on the original diagram forever. Assign an owner for exceptions and preserve only the evidence necessary to demonstrate completion. The result should be a clear account of what was removed, what remains under policy, and what users can no longer retrieve.
A restoration check
Restore a test backup into an isolated environment and confirm that the removal process can be reapplied without exposing retired material. The exercise should use synthetic content and an agreed scope. A backup plan and a deletion plan must be compatible operationally, not merely documented separately.
